Conference Organising Company

EPHMRA is the Organiser and has appointed Bernadette Goudy Limited of The Mews, Little Brunswick St, Huddersfield HD1 5JL to be its appointed agent collecting the registration fees so as to be able to fulfil UK VAT requirements.

VAT at 20% is payable on all invoices (ref Place of Service is UK).

Conference invoices will be issued by this company (not EPHMRA).  Please do not pay the conference fees to EPHMRA – if this occurs we will refund the monies and ask you to pay to the correct bank account.

Confirmation

Your booking will be confirmed by email and an invoice will be issued within 3 working days.

Super Early Bird fee

Available from 1.10.25 to 30.11.25

Here we offer the 2026 Conference fees with no % increase.

For the Super Early Bird fee you can only pay by credit card.

We send a credit card link and this must be paid within 5 working days.  If the fee is not paid within 5 working days then the registration will be cancelled.

Early Bird fee

Available from 1.12.25 to 03.03.26

For the Early Bird fee you can pay by bank transfer or credit card

Early Bird fee Payment terms:

 

1. Credit card payments

If you opt to pay by credit card:

We send a credit card link and his must be paid within 5 working days.  If the fee is not paid within 5 working days then the registration will be cancelled.

 

2. Bank Transfer payments:

Payment is expected within 30 days of the invoice date.

Should payment not arrive within 30 days then we will:

– Send a penalty invoice for £250 for each 30 days, or part thereof, that the invoice remains unpaid. This penalty invoice needs to be paid.

– If the invoice remains unpaid after 2 penalty invoices have been issued then the delegate places/registration will be cancelled. Should this cancellation be needed the invoice will be adjusted and invoiced at the next fee level.  The penalty invoices remain in place and also need to be paid.

Late Registration fee

After 1 June 2026 delegate registrations can only be paid by credit card.

Post Event Payments

All payments must be received in full before the event to guarantee attendance.

If any invoice remains outstanding/unpaid after 30 June we will add a late payment fee to the invoice as follows:

1. Invoice unpaid by 15 July – a £250 (GBP) penalty will be levied.
2. Invoice unpaid by 15 August – a £450 (GBP) penalty will be levied.
3. Invoice unpaid by 30 September – a £500 (GBP) penalty will be levied.

When will I receive my conference joining instructions?

EPHMRA will send all relevant information to enable you to log in to the conference 7-10 days prior to the event.  These will only be issued if the conference invoice has been settled in full.

Tickets

EPHMRA operates a one-ticket one delegate policy – no place sharing. Where ticket sharing is found to have taken place we will bill the full fee for every attendee.

Ticket Restrictions:

1. If multiple tickets are booked at different times, the discount will not apply.
2. No place sharing is possible. One delegate = one ticket.
3. No day tickets are available sorry.
4. First timer tickets and Young Professionals tickets are intended for market researchers from member companies.  The First time tickets are for those who have not attended any previous EPHMRA meeting.

Dietary requirements

A vegetarian lunch option is provided as standard.

However for the Wednesday evening event your food preference needs to be pre-booked.  Please indicate on the booking form.

Photography and filming

EPHMRA takes photographs and records video footage at our conferences. We will use the images resulting from the photography or filming for coverage of the events on our media channels and publications and on our third-party channels for example Vimeo. If you do not wish to be photographed or filmed please email generalmanager@ephmra.org

Papers and Presentations

We can accept no responsibility for the opinions of speakers or any other persons expressed at the event.

Cancellation policy

Due to increasingly inflexible payment terms provided by conference venues, EPHMRA accepts written requests for cancellation up to 45 days in advance of our conference.

Requests for cancellation received up to 45 days in advance of the conference will receive a full refund minus an admin fee of 750 GBP. Cancellations received on or after 22 May 2026 then no refund at all can be made.

Name Changes

You can switch the delegate name any time up until 1 June 2026 free of charge.

After that, a name switch fee of £100 GBP (excl. VAT) is payable for each name switch request. We will send a credit card link for this fee payment.

For each name change please email us with the name of the new delegate – full name, job title, company name, email address and the name of the delegate they are replacing.

No Show On site

If you are an onsite no-show then no refund is possible.

If you decide to send a substitute to take your place then an additional fee of £500 + VAT will invoiced and a credit card link sent.  This additional fee needs to be paid within 24 hours.

Disclaimer

In rare circumstances there may be occasions when changes in content, speakers, timing, location etc have to be made for reasons outside our control. We cannot accept liability for any costs or inconvenience incurred by changes to or cancellations of the event.

Situations beyond our control

Refunds will not be given in these circumstances:

– Delegate illness (to be covered by company travel insurance)

– Any strike action by workforces eg border, train, tube etc which may affect delegate attendance

– Any government-imposed travel restrictions due to any public health situations which may impact delegate attendance

– Any other circumstance outside our control (eg illness, weather, hazards etc).

Delegate Details

We are unable to supply any delegate details (e.g. name, company names or contact details) in advance of the conference or indeed post conference.
