Booking T&Cs
We will confirm your booth booking when possible within 7 working days
If your choice is not available we will offer you a suitable alternative
All invoices for booth bookings need to be paid within 7 working days – otherwise we will release the space as demand is high.
Restrictions and Exhibitor T&Cs
Please do
- make sure you are all set up by the outlined time or we may not be able to accommodate you and will still be liable for the exhibition fee.
- keep all activity within your stand space so that it doesn’t disturb neighbouring stands or hinder movement of delegates around the hall. The EPHMRA Exhibition Manager may move furniture/displays if you are over, or too close to, the edge of your allocated stand space.
- safely dispose of any rubbish or waste you generate on the stand during set up, break down, or throughout the You are responsible for clearing and removing all rubbish, refuse and other materials which belong to you. EPHMRA is not able to dispose of any rubbish generated.
Take note:
- The 2026 conference is a single use only plastic and cellophane free zone. Please ensure you do not bring any giveaways for the exhibition which involve single use plastic. In addition no giveaways can feature clear plastic or cellophane.
Please don’t
- distribute marketing material anywhere other than at your exhibition No marketing materials should be placed on coffee or lunch break tables and do not put out any materials in the general coffee areas or meeting rooms. In addition, please do not personally locate yourselves in the registration area, conference entrance or at the entrance to the meeting rooms or other places where delegates mingle and distribute any materials.
- give out any food or beverages to your stand unless it is a competition prize and remains sealed. You can bring sweets and chocolates as long as they are individually sealed and packaged.
Event Insurance
EPHMRA holds Public Liability and Event Insurance for the conference.
We recommend checking with your own insurance provider that your organisation has full public liability/employer liability cover is in place to cover your exhibiting activity.
